Individual deadlines for assigning a trajectory

Last update: 27.11.2023

Settings for publication/removal dates/recommended deadlines are displayed in the "Destination Options" tab

1. Set a publication date.

The option is used only to publish the trajectory in a future period.

The date of publication of the trajectory for a specific user is indicated at the moment the trajectory is in the “Active” status and the user is granted group/individual access.

  • Example 1 - 02/01/2022 user 1 was granted group/individual access to trajectory 1, which is in the “Hidden” status. On 02/02/2022 at 15:00, trajectory 1 was activated (manually or through an automatic publication mechanism). The publication date of trajectory 1 for user 1 will be 02/02/2022 at 15:00.

  • Example 2 - 02/01/2022 at 10:00 am, user 2 was granted group/individual access to trajectory 2, which is in the “Active” status. The publication date of trajectory 2 for user 2 will be 02/01/2022 at 10:00.

  • Example 3 - 02/01/2022 at 09:00 user 3 was granted group/individual access to trajectory 3, which is in the “Active” status. On 02/02/2022 at 15:00, trajectory 3 was hidden. On 02/03/2022 at 18:00, changes were made to trajectory 3 (not related to access) and activated. The publication date of trajectory 3 for user 3 will be 02/01/2022 at 09:00.

Important

If a trajectory is active and you set an appointment date in the future, the trajectory will automatically switch to Hidden status and will no longer be visible to all users.
Recommendation: Do not apply the setting if the trajectory is already active.

2. Set a date for removal from publication.

When the date of removal from publication occurs, the trajectory does NOT switch to the “Hidden” status. This date is associated with the user’s access to the trajectory and when it occurs, access is lost.

The date of withdrawal from publication may be:

Absolute (until a certain date). For example, 1.09.22 16:00

Relative (for a certain period in days/weeks/months). For example, 3 months

The countdown for the relative date begins at 00:00 Moscow time from the next day after the appointment.

  • Example 1 - trajectory 1 has an absolute date of removal from publication set to 03/31/2022 at 16:00. User 1 is given access to the trajectory on 03/01/2022 at 19:00. At 16:00 on 03/31/2022, trajectory 1 disappears from the list of available ones for user 1. In the admin panel, trajectory 1 will remain in the “Active” status.

  • Example 2 - trajectory 2 has a relative date of removal from publication of 14 days. User 1 was granted access on 03/01/2022 at 14:00, user 2 was granted access on 03/15/2022 at 10:00, and user 3 was granted access on 03/29/2022 at 23:00. Trajectories 2 will disappear from the list of available ones for user 1 - 03/16/2022 until 00:00 (night from 15 to 16), for user 2 - 03/30/2022 at 00:00 (night from 29 to 30), for user 3 - 04/13. 2022 at 00:00 (night from 12 to 13). In the admin panel, trajectory 1 will remain in the “Active” status.

  • Example 3 - trajectory 3 does not have an absolute date for removal from publication. User 1 is given access to trajectory 3. The administrator sets for trajectory 3 the absolute date of removal from publication to 03/31/2022 at 16:00. After these manipulations, user 2 is given access to trajectory 3. When the date 03/31/2022 16:00 arrives, for user 2, trajectory 3 disappears from the list of available ones, while user 1 remains.

Important

The trajectory was already active and available to users. If you set new date settings on this tab, they will be applied only to new users (to whom this trajectory will be opened after making these adjustments).

3. Set a recommended completion time.

The recommended completion date may be:

Absolute (until a certain date). For example, 1.09.22 16:00.

Relative (for a certain period in days/weeks/months). For example, 3 months

The date of the recommended period is calculated individually for each user to whom the trajectory is available.
Therefore, if a trajectory has a relative completion time and was assigned to users on different dates, the recommended completion time for these users may be different.

The recommended date starts counting at 00:00 Moscow time from the next day after the appointment.

  • Example 1 - trajectory 1 has an absolute recommended completion date of 03/31/2022 at 16:00. User 1 was granted access on 03/01/2022 at 10:00, user 2 was granted access on 03/15/2022 at 20:00, and user 3 was granted access on 03/29/2022 at 08:00. The recommended time for completing trajectory 1 for users 1, 2 and 3 will be the same - 03/31/2022 at 16:00.

  • Example 2 - trajectory 2 has a relative recommended completion time of 14 days. User 1 was granted access on 03/01/2022 at 14:00, user 2 was granted access on 03/15/2022 at 10:00, and user 3 was granted access on 03/29/2022 at 23:00. The recommended time for completing trajectory 2 for user 1 will be 03/16/2022 to 00:00 (night from 15 to 16), for user 2 - 03/30/2022 at 00:00 (night from 29 to 30), for user 3 - 13.04. 2022 at 00:00 (night from 12 to 13).

  • Example 3 - trajectory 3 has an absolute recommended completion date of 03/31/2022 at 17:00 and is available to user 1. The administrator changes the recommended completion date of trajectory 3 to 04/31/2022 at 21:00, for user 1 no manipulations are carried out on the tab Users in the settings of trajectory 3. User 2 is given access to trajectory 3. The recommended date for completing trajectory 3 for user 1 remains 03/31/2022 at 17:00, and the recommended date for passing trajectory 3 for user 2 is 04/31/2022 at 21:00.

Please note that the date of the recommended completion date and the date of withdrawal from publication may conflict.
The date of the recommended (deadline) passage must be less than the date of hiding the trajectory.

Important
The learning path was already active and available to users. If you set new date settings on this tab, they will be applied only to new users (to whom this trajectory will be opened after making these adjustments).

4. Warn about the approaching recommended deadline for...

The block “Will be sent..” is displayed, indicating the time at which the user will receive a push notification. You can change this time. For example, for work. To make it comfortable for the user to receive notifications within the specified time period.

Users Tab

It displays users to whom the trajectory is available as part of group or individual access.
Since the conditions of assignment are individual, the list contains additional information about the dates of publication of the trajectory for the user, the date of removal from publication and the recommended completion period.

By highlighting users with check boxes (the number of selected users is displayed at the top) - through the “Actions” button we can update the publication date, the recommended completion date and the publication removal date. And also remove the recommended date or date of removal from publication.

It is possible to select one/several/all users and force them to update or delete their trajectory dates.

i.e. if it is necessary to change these dates for all employees who have access to this trajectory, then the administrator will be able to do these actions on the current tab.

When updating the "Publication Date", the new date is set at the time the action was performed.
For example, if you select this function for users on January 13, 12:00, the publication date is set to January 13, 12:00.
If the recommended date and the date of removal from publication are relative, they are also updated automatically.

When updating the "Recommended date" of a passage, a new date is set depending on the settings on the "Destination Options" tab (changed absolute date or recalculated relative date).

  • If the recommended date is relative, it changes to a value equal to the difference between the previous date and the new one.
For example, it was 10 days, it became 15. Then the period increases by another 5 days.

  • If the recommended date is absolute, it changes to a new date.
If there is no recommended date for the selected user, there may be two possible events:
    1) The recommended date is set in the trajectory - the date is updated.
    2) The trajectory does not contain the recommended one. date – a dash is indicated.

Possible cases:

  • Example 1 - trajectory 1 has an absolute date of recommended passage set to 03/31/2022 at 16:00. For users 1 and 2 (who have access to the trajectory), the date of the recommended passage is displayed as 03/31/2022 16:00. The administrator on 03/15/2022 at 10:00 am changes the date of the recommended completion date to 04/31/2022 at 19:00. On the “Users” tab, user 1 is selected and the “Update recommended date” action is applied to him. For user 1, the date of the recommended passage became 04/31/2022 19:00, for user 2 it remained 03/31/2022 16:00.

  • Example 2 - trajectory 2 has a relative date of recommended passage of 14 days. User 1 was granted access on 03/01/2022 at 14:00 (recommended period 03/16/2022 until 00:00), user 2 - on 03/15/2022 at 10:00 (recommended period 03/15/2022 until 00:00). The administrator on the date 03/03/2022 15:00 on the “Users” tab selects user 1 and applies the “Update publication date” action. For user 1, the publication date becomes 03/03/2022 15:00 and the recommended completion date is 03/17/2022 until 00:00, and for user 2 the publication date remains 03/15/2022 at 10:00 (recommended date is 03/15/2022 until 00:00)

  • Example 3 - trajectory 1 has an absolute date of recommended passage set to 03/31/2022 at 16:00. For users 1 and 2 (who have access to the trajectory), the date of the recommended passage is displayed as 03/31/2022 16:00, the publication date for users 1 and 2 is set to 03/01/2022 08:00. Administrator 03/15/2022 at 14:00 on the Users tab, selects user 1 and the “Update publication date” action is applied to him. For user 1, the publication date became 03/15/2022 14:00, but the recommended completion date did not change in any way.

Delete "Recommended date" - the recommended passage date is deleted for the selected users.

When updating the "Date of Withdrawal from Publication", a new date is entered depending on the settings on the "Assignment Options" tab (changed absolute date or recalculated relative date).

  • If the date of withdrawal from publication is relative, it changes to a value equal to the difference between the previous date and the new one
For example, it was 10 days, it became 15. Then the period increases by another 5 days.

  • If the recommended date is absolute, it changes to a new date.

If there is no de-publication date for the selected user, there may be two possible events:
1) The recommended date is set in the trajectory - the date is updated.
2) There is no recommended date in the trajectory - a dash is added.

Delete "Date of removal from publication" The date of removal from publication is deleted for selected users.

Important

When you remove and re-provide access to it, the assignment date of a learning path is overwritten with a new one only if the trajectory status is active.

How absolute dates (before date) work:
Method of calculating dates: a common specific date is indicated for all.
In the parameters tab, the absolute values of the date of withdrawal from publication and the recommended period are selected.
The customized date format is automatically applied to new users (new users are added to the trajectory access and the current date settings are applied to them).
To update date settings for users who have already been assigned a trajectory, you need to go to the "Users" tab and update/delete the desired date.

How relative dates (to a due date) work:
Method of calculating dates: the value is indicated by the time when the date should occur (for example, by a period of 2 weeks, by a period of 1 day). The dates of the recommended period and withdrawal from publication are calculated relative to the date of publication.
Example: the recommended deadline occurs in 2 days, which means that for a user with a publication date of 12/15/2022 17:14, the recommended deadline will occur on 12/17/2022 17:14.
The custom date format is automatically applied to new users (users are added to the trajectory and the current date settings are applied to them).
To update date settings for users who have already been assigned a trajectory, you need to go to the "Users" tab and update/delete the desired date.

How can I re-assign a trajectory to a user if the unpublish date has passed?
If the user's de-publication date has passed, the learning path in the application is no longer displayed to the user. It is necessary to provide this user with access to this trajectory again and without a deadline for removal from publication. To do this: select the user - click “actions” and “remove the date of withdrawal from publication.” Our user will see the trajectory again in the application and for an indefinite period.

How deadline notifications are received:
To understand when the user will receive a notification, you need to subtract the time when the notification should arrive from the recommended date. At the same time, for an absolute or relative recommended date, the mechanism for calculating the time when a notification about the approaching deadline is received is the same.
For example, the deadline is 12/17/2022 17:16. The deadline reminder is 30 minutes in advance. This means that the user will be notified of the deadline on 12/17/2022 16:46.

How users are displayed in statistics:
If the user has lost access to the trajectory due to the settings of the closing and opening dates of the trajectory, then it will still be displayed smoothly in the upload along the trajectory.
Even if I didn’t have statistics on it.

If a user has statistics in the trajectory, but group/individual access has been taken away from him (administrator):
- The user is displayed in the “Statistics” section in the “no access” filter, regardless of what his opening/closing dates are.

If the user does not have statistics in the trajectory, and group/individual access has been taken away from him (administrator):
- The user is not displayed in the “Statistics” section in the “no access” filter, regardless of what his opening/closing dates are.

What happens if you add a training program with other dates already configured to a trajectory with already configured dates (in the destination parameters).

Publication date.
If a program is added to a trajectory with an active publication date setting, and the date has not yet arrived, the window “Selected programs have a publication date setting, when added to the trajectory, the date will be reset and the program will be activated.”
When you reset the publication date of the training program and add it to the trajectory, the program acquires the “active” status.

Recommended completion time.
The date of the recommended period for completing the trajectory is in no way related to and does not limit the period of recommended completion of the program.

Setting the recommended completion time in the program and in the trajectory content settings (opposite the programs - completion time) is the same thing.
If the user is assigned a training program and a training trajectory that includes this program, then in cases where the recommended period contradicts each other, the date is rewritten according to the last change.

Examples:
1) A program was added to the trajectory in which the date of the recommended period was not set. After adding the trajectory in the content, the program was given a period of 10 days. Now in the training program itself it will not be possible to set any value “until the date”, since it will be extended “for a period” of 10 days.
2) A program was added to the trajectory, in which the recommended deadline “before the date” of September 12 was previously set. After adding the trajectory to the content, the program was not given a deadline. After adding such a program to the trajectory, the recommended duration is no longer displayed in the training program itself. Old users (who have seen this program before) “live” with the old recommended period. New users who will now be given access to the program or who will be given access to the trajectory in which the program is already “living” without any recommended deadlines, because they were not configured in the trajectory.
3) A program was added to the trajectory, which previously had a recommended deadline “before the date” of September 12. After adding the trajectory in the content, the program was given a period of 10 days. Now, even in the training program itself, it will not be possible to change any value “until the date”, since there the “for a period” of 10 days will be added.

Important

If the program that was included in the trajectory was previously available to the user, then the new deadline conditions specified in the trajectory do not apply to him. Therefore, if you plan to adjust the completion dates, we recommend creating new training programs for such trajectories.

Algorithm of actions: 1) Add a new program to the trajectory, which has not yet been available to anyone. 2) Next, set up the deadline conditions in the trajectory. 3) Grant access to the trajectory to users. Now users will see the current deadlines.

If you have already used a program that was previously available to users (then access was taken away), add it to the trajectory. The recommended completion time was set in the trajectory. For users who previously had access to the program, this period will not be displayed because they will be subject to the same conditions as when they initially gained access to the program.

Solution - you need to update the recommended period for such users. We update the deadlines for the program on the “Users” tab, but in the program on the users tab only those who have been given direct access to the program will be displayed. In the program, the "Users" tab does not display inherited access (users who gained access to the program through a trajectory). You need to give the user access to the program itself and, on the “Users” tab, update the recommended period. And employees will see the current deadline.

If you have already used a program that was previously available to users (access directly to the program remained), add it to the trajectory. The recommended completion time was set in the trajectory. For users who previously had access to the program, this period will not be displayed because they will be subject to the same conditions as when they initially gained access to the program.

Solution: in the program itself and on the “Users” tab, you need to update the recommended period. And employees will see the current deadline.

Date of withdrawal from publication.
If a program is added to a trajectory with the active date of withdrawal from publication setting, the window “Selected programs contain a date of withdrawal from publication; when added to the trajectory, the date will be reset” is displayed. After adding the program to the trajectory, the “Set a date for withdrawal from publication” checkbox is removed and becomes an inactive field that cannot be configured. For users with training programs that had a date of removal from publication and the program was added to the trajectory, the date of removal from publication is reset.
If the training program is already included in the trajectory, and we go to the program settings, then the “Set a date for withdrawal from publication” checkbox will be an inactive field that cannot be configured. When you try to click on a block, a hint is displayed: “The training program is included in the trajectory.”

Let's summarize.
When adding programs with set dates to a trajectory with set dates, the programs’ publication date and unpublished date will be reset. And if the date of the recommended period contradicts each other, the date is overwritten according to the last change.
